Journal is a double-entry accounting method that has been used for centuries for keeping financial records. A double-entry system of bookkeeping is where every financial transaction is recorded in at least 2 different accounts. With the help of the ‘Journal’ module in ChargeERP, commission agents can record all their mandi-related transactions. It can also keep a log of their miscellaneous transactions which doesn’t fall under a specific account type through which they can be entered. The entries done through this module will reflect in the ledgers of the respective accounts and in the ‘Journal Register’.

Let’s see how commission agents can create new Journal entries on ChargeERP.

  • First, log into your ChargeERP account. Once you log in, you will directly land on the ‘Dashboard’ page. From the top left corner, click on the company name dropdown (A) and choose the company for which you want to create a new Journal entry.
  • Now, using the sidebar option on the left side, click on the ‘Journal’ tab (B).

On the ‘Journal’ page, click on the ‘NEW RECORD’ button (C).

  • First, select the ‘Date’ (D) for which you want to create the journal entry.
  • In the ‘Item Details’ section (E), select the ‘DR’ or ‘CR’ option in the Dr/Cr box. We recommend first selecting ‘CR’ and creating an entry for an account from which you want to use a specific amount.
  • Now, select the ‘Account Name’ from the dropdown. Please note that you can also add a new account here by using the ‘ADD NEW’ (F) option in the dropdown.
  • Enter the ‘Amount’ you want to credit.
  • Write a ‘Short Narration’ in the given box, if required.
  • After creating a credit entry, click on the ‘ADD ROW’ button (G). A new row will be added.

  • In the new row (H), enter the account for which you are using the above-mentioned amount.
  • Select ‘Dr’ in the ‘Dr/Cr’ box.
  • Now, select the ‘Account Name’ from the dropdown. Please note that you can also add a new account here by using the ‘ADD NEW’ option (I) in the dropdown.
  • Enter the ‘Amount’ you want to debit.
  • Write a ‘Short Narration’ in the given box, if required.
  • Please note that in order to save the journal entry, your credit and debit amount needs to be the same or you will receive a message ‘Credit amount is not equal to debit’ while saving the entry.
  • Once your credit and debit amounts are same, you can ‘SAVE’ (J) the journal entry.

Footer

The newly added journal entry will now appear in a table on the ‘Journal’ page. The footer displays the ‘Total Debit Amount (₹)’ (K) and ‘Total Credit Amount (₹)‘ (L).

How to edit and delete ‘Journal’ entries?

Every row on the ‘Journal’ table has a ‘three-dot menu’ on the right side. As you click on it, the ‘Edit’ (M) and ‘Delete’ (N) options will be shown. Select ‘Edit’ or ‘Delete’ options to edit or delete your journal entries respectively.

How to download ‘Journal Register’?

Click on the ‘download icon’ (O) on the right side of the page.

You will see a ‘Confirmation Box’ (P) to receive this report over WhatsApp.

As soon as you make your choice between ‘Yes’ or ‘No’, you will be redirected to the ‘Journal Register’ where you can choose to ‘Print’ (Q) and ‘Download’ (R).
